Booking Terms and Conditions

These terms outline how bookings are made and managed at Lightframe Studios London. By confirming a hire, you agree to the conditions below. They are governed by the laws of England and Wales.

1. Bookings and Confirmation

Enquiries can be made by email or phone. A booking becomes confirmed only after written acceptance and a deposit payment. Until then, the requested date remains open to other clients. We recommend confirming early to secure preferred slots.

2. Rates and Payment

Current hire rates are provided upon request and quoted exclusive of VAT where applicable. Invoices are issued electronically and payable by bank transfer within seven days. For recurring clients, credit terms may be arranged upon review. Late payments may incur an administration fee permitted under the Late Payment of Commercial Debts (Interest) Act 1998.

3. Cancellations and Rescheduling

  • Cancellations made seven or more days before the booking date: deposit refunded minus a £25 administration fee.
  • Cancellations within seven days: deposit retained unless the slot is rebooked by another client.
  • Rescheduling requests are reviewed case by case and confirmed in writing.

4. Use of the Studio

Clients are responsible for the conduct and safety of their team. All equipment should be used with due care and returned in its original condition. The studio must be left tidy and free of personal items at the end of the session. Food and drinks are allowed only in designated areas. Smoking, vaping, or use of open flames is strictly prohibited within the premises.

5. Insurance

Clients are encouraged to carry public liability and equipment insurance covering their activities during hire. Lightframe Studios London holds its own property and liability insurance, but does not cover client-owned or rented gear, props, or personal belongings.

6. Safety and Compliance

All users must follow basic health and safety standards. Trip hazards, cables, and lighting rigs should be managed responsibly. Fire exits and alarm routes must remain unobstructed. Electrical items brought into the studio must be PAT-tested where applicable. Any incidents or damages must be reported to staff immediately.

7. Deliveries and Load-in

Delivery and collection times must be agreed in advance. We accept light courier deliveries but cannot sign for high-value shipments without prior notice. Loading access is at street level and suitable for small vans. Clients should allocate sufficient time for setup and breakdown within their booked hours.

8. Storage

Overnight storage of props or equipment may be possible for ongoing projects, subject to written approval and additional cost. Unclaimed items left beyond seven days may be removed or disposed of at the client’s expense.

9. Intellectual Property and Recordings

Clients retain full ownership of any media created within the hired space. Lightframe Studios London does not claim rights to images or recordings made by clients. We may, with prior consent, reference anonymous project titles in promotional materials.

10. Force Majeure

Neither party shall be liable for delays or cancellations caused by events beyond reasonable control, including but not limited to strikes, power failure, illness, or extreme weather. In such cases, bookings may be rescheduled without penalty when feasible.

11. Limitation of Liability

While all reasonable precautions are taken to ensure safety, Lightframe Studios London shall not be held responsible for any indirect or consequential loss, business interruption, or data loss arising from studio hire. Liability for direct damages shall not exceed the total fee paid for the booking. Nothing in these terms excludes liability for death or personal injury resulting from negligence.

12. Privacy and Data Protection

Client details collected for booking purposes are processed under the Privacy & Data Policy in accordance with UK GDPR and the Data Protection Act 2018. We do not store payment card details.

13. Governing Law and Jurisdiction

These terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the English courts.
